Executive Assistant

John Laing is growing its market leading infrastructure investment business in the UK, in to the United States.  We are recruiting a team to develop our business across the US, based from our office in White Plains, New York.  In joining us you will have the opportunity to be part of a new venture, supported by established and successful teams in London, as we bid for P3 Infrastructure projects in North America.

The Executive Assistant will support the US Projects team and, specifically, the Regional Director.  Taking a lead role in the set up of the John Laing office, s/he will be responsible for managing the office including all associated infrastructure, developing US based systems and databases and providing administrative support to the team.  

The Role:

• Office management – general, meeting rooms, fax, photocopier, stationery, phones, PDA’s, and liaison with IT support
• Business development support including assisting in developing and maintaining US based systems and databases for projects and contacts market information generally
• Meeting preparation and organisation
• Diary management for Director and team
• Corporate literature – ongoing coordination of marketing generally and ensuring consistency with corporate material provided by John Laing plc; this will include liaison with PR and marketing agencies where appropriate
• Development and management of a centralised monitoring, control and reporting system for bid team activity
• Confidential document management and word processing, including preparation, editing and proof-reading of tender documents
• Administrative support to bid teams and advisers where necessary through the tendering process, following pre-qualification to appointment as preferred bidder and beyond

 Skills and Experience Required:

• Experienced in administrative support and office management
• Knowledge of US business practices and systems generally
• Experienced in the use of MS Office in the work place
• Ability to assist the business in building relationships with both public and private sector associates
• Ability to meet deadlines
• Excellent interpersonal and communication skills
• Ability to work effectively as part of a team as well as independently and autonomously
• Flexible approach to undertaking a variety of tasks, in new situations; hands on, pragmatic and keen to be involved in a growing business
• IT literate in MS Office; strong keyboard skills
• Sound educational background; graduate preferred, though not essential
